Privacy Policy

This Privacy Policy explains how Who's In ("we," "us") collects, uses, and protects your information.

Information we collect

We collect only what's needed to run your team: your name, email address, an optional mobile phone number, and the teams, schedules, messages, and dues you participate in. If you add a profile photo, a team logo, or photos or images you share in team chat, we store those as well. If you use our schedule or roster import feature, we process the text or photo of the schedule or roster you provide in order to read the games or players it contains. We collect a mobile number only when you choose to provide one to receive text messages (SMS).

How we use your information

We use your information to operate the app, coordinate your team, and deliver the notifications you opt in to (in-app and, if you opt in, by text message). We do not use your information for advertising, and Who's In runs no advertising and no behavioral tracking.

How we share your information

We share information only with the service providers that help us operate the app, and only as needed to provide the service. These include our cloud hosting and database provider (Railway); our media storage provider (Cloudflare R2), where profile photos, team logos, and images you share in chat are stored and served from web addresses that are unguessable but not password-protected; the messaging carrier (Twilio) that delivers your text messages; our email provider (Resend), used for account emails such as password resets; GIPHY, which powers GIF search in chat (the words you type to search are sent to GIPHY to return results, and GIFs you send are served from GIPHY's network — see GIPHY's Privacy Policy); and, only when you use schedule or roster import, our AI provider (Anthropic), to which the schedule or roster text or photo you submit is sent solely to extract its contents (for example, game dates and opponents, or player names and numbers) and is not used to train their models. These providers are limited to operating the service and are not permitted to use your information for their own advertising or marketing. We may also disclose information if required by law or to protect the rights, safety, or property of Who's In, our users, or the public.

Your choices

You can opt out of text messages at any time by replying STOP. You can delete your account at any time from within the app (Profile → Delete account); doing so removes your name, email address, and phone number from your account, signs you out of all devices, and deletes your uploaded profile photo. Content you contributed to a team (such as chat messages) may remain as part of that team's history but is no longer associated with your personal information. You can also request access to, correction of, or deletion of your data, or ask any privacy question, by contacting us at the address below.

Data retention

We keep your information for as long as your account is active or as needed to provide the service. When you delete your account, we remove your name, email address, and phone number and delete your uploaded profile photo; content you contributed to a team may remain as part of that team's history but is de-linked from your personal information. We may retain limited records where required to comply with legal obligations, resolve disputes, or enforce our agreements.

Children's privacy

Who's In is built for adults and is intended only for people 18 and older. We do not knowingly collect personal information from children. If you believe a child has provided us information, contact us at the address below and we will delete it.

Changes to this policy

We may update this Privacy Policy from time to time. When we do, we will revise the "Last updated" date above, and your continued use of Who's In after the changes take effect constitutes acceptance of the updated policy.
